Ask AI What Is Wrong Before You Ask It to Rewrite

AI works better as a second reader than as an automatic editor. Ask it to find weak arguments, repetition and unclear passages first, then decide what actually needs changing.

Most people give AI tool much control over a draft. They paste in a report, proposal or article and ask it to “improve this”. The model may tighten sentences, change the tone, reorganise paragraphs and remove repetition in a single pass. The result often reads cleanly, but the writer can no longer see which problem each change was meant to solve. We recommend separating diagnosis from rewriting. Ask your AI tool to identify unclear passages, changes in tone, structural weaknesses or repetition without changing the text. The writer then decides which criticisms are valid and which revisions are necessary. For reports, proposals and client documents, that keeps authorship with the person responsible for the work.

Give It One Editing Job at a Time

“Make this better” is too broad. If you give that instruction a model has to decide what “better” means. It may alter clarity, tone, structure and length at once, even when only one of them needed attention.

Narrow the review instead and ask where the argument becomes difficult to follow. Run a separate pass for changes in tone. Then ask which claims need more evidence or which points appear more than once. Each review produces a specific set of problems that the writer can check against the draft.

Tell It Not to Rewrite

Highlight areas that may benefit from revision. Do not rewrite them. Explain the issue so I can decide how to address it.

The writer may repeat a phrase deliberately, but the model can still flag it as a problem. 
The ouctome can call a sentence too long even when the rhythm suits the piece. It can mark specialist terminology as unclear even when the intended reader knows it. Diagnosis gives the writer another reading of the document without handing over the edit.

Fix the Easy Problems Yourself

Once the weak passages are visible, separate problems that need judgement from problems that need rewriting. Delete a repeated sentence yourself. Cut an unnecessary clause. Add a source where a claim lacks support. Use AI again when the problem is clear but the wording is not. Instead of asking for a new version of the whole document, give it one paragraph and one instruction: improve the clarity without changing the argument or tone. You can then compare two versions rather than inspect an entirely rewritten draft.

Run Separate Editing Passes

You rarely need one enormous editing prompt when writing a business report. Check the argument first. Review the structure separately. Then look for repetition. Finish with tone. Claude guides, for example, recommend focused prompts because each pass answers a defined question. A structural edit does not need permission to change the voice; a tone review does not need to rebuild the argument. Separating the jobs also makes bad suggestions easier to spot.

Use Several Documents to Find Recurring Habits

One document reveals local problems but several documents reveal habits. Give your AI writing tool a set of reports, proposals or articles and ask it to identify patterns that recur across them: long sentences, repeated phrases, abrupt shifts in tone, weak openings or the same structural problem appearing in several pieces. You can use the same review to identify strengths that recur across writers or publications with your team. This gives you as editors something more valuable than another polished paragraph: evidence about where the same problems keep entering the work.

Keep the Last Edit Human

Read the finished document again without asking AI to change it. Check whether the argument still says what you intended. Look for phrases you would not normally use. Make sure one revision has not created a contradiction or repetition elsewhere. Claude, for example, can identify possible problems and propose alternatives. It cannot decide which sentence still sounds like you.

Use AI to find the weakness BUT decide yourself whether it needs fixing.
